1 The Situation

DLCG launched AI Essentials for DLCG as a pilot training initiative across 23 sessions from October 9 to November 6, 2025, reaching mortgage professionals throughout Canada’s largest mortgage network. Following the successful pilot, DLCG leadership requested a comprehensive participant list to enable follow-up communications and inform the transition to enterprise-scale deployment.

2 The Ask

DLCG requested a comprehensive participant list including:

3 The Problem

Zoom participant reports don’t capture email addresses. Calendly registrations included names and emails, but Zoom only recorded names and duration. Matching the two datasets was complex due to:

πŸ“± Device names: “John’s iPhone” instead of proper names
πŸ”€ Username variations: “jsmith123”, partial names, typos
πŸ‘₯ Nickname differences: “Bob” vs “Robert”, “Mike” vs “Michael”
πŸ”„ Multiple login attempts from connection issues and waiting room behavior
πŸ€– AI notetaker bots (Otter.ai, Read.ai, Fathom) needing exclusion

Simple name matching would failβ€”this required an intelligent algorithm to reconcile name variations while maintaining high accuracy.

4 The Solution

A sophisticated matching algorithm (v2.1 Enhanced) was developed to intelligently reconcile Calendly registrant data with Zoom participant names, achieving a 76.2% automated match rate with zero false positives across all 23 sessions.

Rule 1: Both Names Must Match
Requires BOTH first AND last name similarity >0.75 to prevent false matches like “Jeff Herrington” matching “Jeff Laberge”
Rule 2: Fuzzy String Matching
Handles typos, formatting differences, hyphenation, device name cleanup, concatenated names, and middle name variations using advanced similarity scoring (0.0-1.0 scale)
Rule 3: Conservative Approach
Single-name matches require >0.90 similarity with penalty applied. Prioritizes accuracy over match rateβ€”flags ambiguous cases for manual review to maintain zero false positives

Quality Assurance: Zero false positives across 998 matched participants, zero false duplicates. All matches scored β‰₯0.70 confidence. Algorithm stress-tested and validated through comprehensive quality checks. Unmatched participants flagged with recovery recommendations. Processing time: 2-3 minutes per session.
